ClayCard is operated by Chris Shaw (trading as ClayCard). We are committed to protecting your personal information and being transparent about how we use it. This Privacy Policy explains what data we collect, why we collect it, how it is stored and processed, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Who We Are

For the purposes of UK GDPR, Chris Shaw (ClayCard) is the Data Controller. This means we are responsible for determining how and why your personal data is processed.

ClayCard is built on the Base44 platform, operated by Base44, Inc., a US-incorporated company. Base44 acts as our Data Processor, meaning they process personal data on our behalf in accordance with our instructions and a formal Data Processing Agreement (DPA). See Section 8 for more information about international data transfers.

3. What Data We Collect

When you use ClayCard, we may collect the following categories of personal data:

Account and Profile Information

  • Name and username
  • Email address
  • Profile information you choose to provide

Shooting Activity Data

  • Scores, hit/miss records, and round histories
  • Shooting discipline and session participation records
  • Performance analytics and statistics derived from your activity

Social and Community Data

  • Friend connections and requests
  • Content you share on the Mates Feed
  • Interactions with shooting grounds you follow

Location and Ground Data

  • Location data used to help you discover nearby shooting grounds (only when you use this feature)
  • Shooting grounds you have favourited

Ground Manager Data (if applicable)

  • Session and stand configuration data
  • Activity logs and score review records
  • Images of physical scorecards submitted for AI-assisted layout configuration

Technical and Device Data

  • Device type and operating system
  • IP address and connection details
  • App usage and performance data

4. How We Use Your Data

We use your personal data for the following purposes:

  • To provide and operate the ClayCard app and its features
  • To display your scores, statistics, and performance history
  • To enable social features such as friend connections and the Mates Feed
  • To allow you to discover and follow shooting grounds
  • To support shooting ground managers in running sessions and viewing live scoreboards
  • To process scanned scorecards using AI-assisted layout configuration
  • To maintain app security and prevent fraudulent activity
  • To improve app performance and user experience

5. Our Legal Basis for Processing

Under UK GDPR, we rely on the following legal bases for processing your personal data:

  • Contract performance: Processing necessary to deliver the services you have signed up for
  • Legitimate interests: Improving the app, maintaining security, and preventing misuse, where these do not override your rights
  • Consent: Where you have actively chosen to share location data or opt into social features
  • Legal obligation: Where we are required to retain or process data to comply with applicable law

6. Who We Share Your Data With

We do not sell your personal data. We may share it in the following circumstances:

  • Base44, Inc.: Our platform provider and Data Processor, who hosts and powers the ClayCard application
  • Base44 sub-processors: Third-party services used by Base44 to deliver the platform (a current list is available at base44.com/dpa/exhibitc)
  • Other ClayCard users: When you use social features such as the Mates Feed or appear on a public scoreboard, certain information will be visible to other users
  • Legal authorities: Where required by law, regulation, or a valid legal process

7. How Long We Keep Your Data

We retain your personal data for as long as your account is active or as needed to provide you with the ClayCard service. If you request deletion of your account, we will delete your personal data unless we are required to retain it to comply with a legal obligation or to resolve a dispute.

Please note that Base44 may retain anonymised or aggregated data derived from usage after deletion, but this cannot be used to identify you.

8. International Data Transfers

ClayCard is built on Base44, a US-based platform. This means your personal data may be transferred to and processed in the United States or other countries outside the UK.

Base44 complies with applicable cross-border transfer requirements, including the use of Standard Contractual Clauses (SCCs) approved by the European Commission where required, and the EU-US Data Privacy Framework where applicable. Their DPA confirms that transfers from the UK are handled in accordance with UK GDPR requirements.

9. Your Rights Under UK GDPR

You have the following rights in relation to your personal data:

  • Right of access: You can request a copy of the personal data we hold about you
  • Right to rectification: You can ask us to correct inaccurate or incomplete data
  • Right to erasure: You can ask us to delete your personal data in certain circumstances
  • Right to restriction: You can ask us to limit how we use your data
  • Right to data portability: You can request your data in a structured, machine-readable format
  • Right to object: You can object to processing based on legitimate interests or for direct marketing
  • Right to withdraw consent: Where processing is based on consent, you can withdraw it at any time

If you are not satisfied with how we handle your request, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.

10. Children's Privacy

ClayCard is not intended for use by anyone under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child under 13 has provided us with personal data, please contact us at management@claycard.co.uk and we will take steps to delete it promptly.

11. Security

We take the security of your personal data seriously. Base44, as our platform provider, implements industry-standard technical and organisational security measures to protect your data from unauthorised access, disclosure, or loss. Details of these measures are published at base44.com/dpa/exhibitb.

In the event of a data breach that affects your rights and freedoms, we will notify you and the ICO as required under UK GDPR.

12. Cookies and Tracking

The Base44 platform uses cookies and analytics tools, including Google Analytics, to monitor app performance and usage. These tools may collect technical data such as your IP address, device type, and usage patterns. This data is used to improve the performance of ClayCard and is not used to identify you personally.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the date at the top of this page. We encourage you to review this policy periodically. Continued use of the ClayCard app after any changes constitutes your acceptance of the updated policy.
